This Privacy Policy describes how Gaus LLC, a Missouri limited liability company doing business as CollBar ("CollBar," "we," "us," or "our"), collects, uses, and discloses information in connection with the collbar.com website (the "Site") and the CollBar Data Intelligence application and related services (the "Service").

By using the Site or Service, you agree to the practices described in this Policy. This Policy is incorporated into our Terms of Service. If you do not agree, please do not use the Site or Service.

1. Information We Collect

Information you provide. When you create an account, subscribe, request district data, or contact us, we collect information such as your name, work email address, organization, job title, phone number, and the contents of your communications with us.

Payment information. Payments are processed by Stripe, Inc. Your payment card details are provided directly to Stripe and are subject to Stripe's privacy policy. We do not receive or store full payment card numbers; we receive limited billing information such as transaction status, plan, and billing contact details.

Customer Data. If you upload documents or data to the Service, we process that content to provide the Service, as described in our Terms of Service.

Information collected automatically. When you use the Site or Service, we and our service providers automatically collect device and usage information, such as IP address, browser type, operating system, pages viewed, features used, referring pages, and timestamps, using cookies and similar technologies. 2. Public Records and Professional Data

The Service includes databases compiled from publicly available government sources — such as the Illinois State Board of Education, other state agencies, freedom-of-information responses, and publicly posted collective bargaining agreements. These records may include professional information about public-sector employees (for example, position, salary schedule placement, and district employment data) that governments make publicly available.

This information is publicly available information obtained from government records. It is not collected from the individuals it describes, and this Policy's descriptions of account-holder data practices do not apply to it. If you have questions about public records data appearing in the Service, contact us using the information in Section 12.

3. How We Use Information

We use the information we collect to: provide, operate, secure, and improve the Site and Service; create and manage accounts; process payments and subscriptions; respond to inquiries and provide support; send transactional communications (such as receipts, renewal notices, and service updates); send marketing communications you may opt out of at any time; analyze usage to improve features and performance; detect, prevent, and address fraud, abuse, and security issues; and comply with legal obligations and enforce our agreements.

4. Artificial Intelligence Processing

The Service uses third-party artificial intelligence providers (currently including Anthropic, PBC) to extract, classify, and analyze documents and data. Content submitted for AI processing is transmitted to these providers as service providers under contractual restrictions. We do not permit our AI service providers to use Customer Data to train their generally available models except as separately agreed with you.

5. How We Share Information

We do not sell personal information, and we do not share personal information for cross-context behavioral advertising.

We disclose information to: service providers who process it on our behalf (such as cloud hosting, payment processing via Stripe, email delivery, analytics, customer support, and AI processing providers), bound by confidentiality and use restrictions; professional advisors such as lawyers and accountants where reasonably necessary; authorities and other parties when required by law or to protect rights, safety, and the integrity of the Service, including enforcing our Terms; and successors in connection with a merger, acquisition, financing, or sale of assets, in which case this Policy will continue to apply to previously collected information until amended.

6. Security

We use reasonable administrative, technical, and physical safeguards appropriate to the sensitivity of the information we handle, including encryption in transit, access controls, and vendor due diligence. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.

7. Retention

We retain personal information for as long as reasonably necessary to provide the Site and Service, comply with legal and tax obligations, resolve disputes, and enforce agreements. Account information is generally retained for the life of the account plus a reasonable period thereafter. Retention periods vary by information type, purpose, and legal requirements.

8. Your Choices

You may access and update account information through your account settings or by contacting us. You may opt out of marketing emails using the unsubscribe link in any marketing message; we will still send transactional messages related to your account. You can manage cookies as described in our Cookie Policy. Residents of certain U.S. states have additional rights described in our Your Privacy Rights notice.

9. Children

The Site and Service are intended for business and professional use by adults. They are not directed to children, and we do not knowingly collect personal information from anyone under 16. If you believe a child has provided us personal information, contact us and we will delete it.

10. International Users

The Site and Service are operated from the United States and intended for users in the United States. If you access them from outside the U.S., you understand that your information will be transferred to, stored, and processed in the United States, where privacy laws may differ from those of your jurisdiction.

11. Changes to This Policy

We may update this Policy from time to time. We will post the updated Policy with a revised "Last Updated" date, and for material changes we will provide additional notice (such as email or in-product notice). Your continued use after the effective date constitutes acceptance.
